Making Maximum Use of ELAN Online

ELAN Online provides a complete web-based service for members. To ensure that you understand all the options and how they work, please take a moment to consult this overview.

Site Overview

ELAN Members

ELAN accepts members in four categories: professional artists, student/emerging artists, professional organisations and friends (non-artists or non-professional artists who support the arts). Professional artist and organisation members are able to update their own information through password-protected access to their page(s) on the site.

Members Directory

What it is: The online Members' Directory is the foundation of our web-based community. The bio section is where you tell us the kind of work you've done and where you've done it. You can also add a photo.

Who is Eligible: Professional and organisational members.

Arts Showcase

What it is: The Arts Showcase is an online art gallery, literary digest, theatrical stage, movie theatre and CD player of members' work. You can upload samples of your work in text, photos, audio and video directly on to their page on the site, which is searchable through the online members directory or by discipline.

How to Submit: Go to Arts Showcase.

Who is Eligible: Professional and organisational members.

Arts Calendar

What it is: The daily Arts Calendar gives Quebecers and visitors to Quebec information on English-language music, arts shows, theatre, readings and films and video shows and performances across the province. (NB the Calendar is for general public artistic events that are presented in Quebec)

Who is Eligible: All ELAN members.

ELANews

What it is: ELANews is an online monthly newsletter that presents information about workshops and seminars (aimed at the arts community), opportunities for artists (job opportunities, contests and events not for the general public), members' news (latest publications, productions outside Quebec, prizes or travels) and classified ads (anything at all). ELANews is published on the 1st day of every month. Deadline for submissions is the 23d day of the preceding month.

Who is Eligible: All ELAN members.

Arts Services Kit (ASK)

What it is: The Arts Services Kit is designed to help professional artists find the services they need for their day-to-day work, or to offer their own specialized services to others. It also has an extensive listing of grants and support services offered by other arts associations.

Who is Eligible: All ELAN members and any service providers who want to work with ELAN members.

Logins & Profiles

Professional members may use the login facilities in order to edit their bios and contact information, as well as update their showcases.

Logging In

You'll find the login link below the main navigation list on the left-hand side of each page.

Note that, should you forget your password, you may provide your email address and a new password will be created and sent to you.

Your Profile

Your profile page contains all of your data as provided to ELAN. You may update this information as necessary. You may also include (or replace) a headshot photo here, if you like.

The box containing your bio has controls which allow for a limited amount of HTML markup, including bold & italic text, lists, and headers. For help understanding how to use these controls, click on the "markup hints" link to open a short tutorial.

Updating Your Showcase

At the top of your profile page, you'll find a link, "edit showcase" ("add showcase" if you do not have one on the site yet). This will take you to another page, displaying thumbnails for each of the items you have already uploaded. Clicking on any of these will allow you to edit the information provided for the item.

There is also a button provided which allows you to delete the showcase. This cannot be undone by ELAN! If you delete your showcase accidentally, you will have to re-submit everything again.

Changing Your Password

The password provided to you by ELAN is not set in stone. If you wish to change it to something that you will find easier to remember, just enter it twice (to ensure that they match—and, thus, that you haven't mis-typed the text) in the provided form. For obvious reasons, this is only available once a member has logged in to the site.

Using ELANews

ELANews is sent out on the first of each month to all ELAN members. It is a collection of upcoming opportunities for artists, workshops, seminars, and other activities, as well as members' news and a classifieds section with which one may share directly with other ELAN members.

Newsletter Display

The newsletter is sent out in two formats: HTML and plain text. Many email clients (Thunderbird, Outlook, etc.) will display email in HTML format by default. For those who do not appreciate email with bells & whistles, this can be annoying. The answer is to simply tell your application to display the email message in the format you prefer. Listed below are instructions for dealing with this using the most common email clients.

Thunderbird

Choose View -> Message Body As -> Plain Text from the menu. All of your messages for this mail account will now be displayed as plain text. Go to Edit -> Preferences -> Display to see other, related options.

Mail.app (OS X )

Choose View -> Message -> Plain Text Alternative. Unfortunately, at this time, Mail.app does not remember this setting. In order to have your messages always display as plain text it is necessary to edit your preferences. In a text editor, open the file at:
~/Library/preferences/com.apple.mail.plist
This is the "Library" in your Home directory. Add the following lines to the first <dict> block:
<key>PreferPlainText</key>
<true/>

Alternatively, this prefernce may be set using Terminal:
defaults write com.apple.mail PreferPlainText -bool TRUE

Outlook

For Outlook 2003, choose:
Tools -> Options -> Preferences -> E-mail Options -> Read all standard mail in plain text

For other versions you should check the manual.

Not receiving ELANews?

Please note that some email providers—notably, HotMail and Sympatico—have been blocking the newsletter (presumably because it has been flagged as SPAM). We have investigated this and have made some changes to the server but we are still seeing this problem. Unfortunately, these providers have yet to give us a satisfactory answer as to how this can be resolved. If you are an ELANews subscriber but are not receiving it on the first of each month, we suggest you contact your provider.
